This position is responsible for supporting multiple Resident Services departments with general office assistant duties and an emphasis on publication tasks, and by assisting in creating and maintaining a community where a high quality of life for Independent Living residents is available.  The Resident Services Assistant will add to the success of each department by demonstrating flexibility and the ability to adjust to varying department needs, exhibits excellent time management skills and is deadline driven.  Reports to Director of Independent Living.  This is a non-exempt position.


Major Tasks, Duties, and Responsibilities:

  • Assures our Mission is implemented in relation to resident and family satisfaction, proper services are offered, rights to fair and equitable treatment are never infringed (upon), and self-determination and privacy are a daily experience
  • Listens to and responds swiftly to resident requests and needs
  • Assures property integrity is intact and arranges for repairs or replacement in apartments and common areas when warranted
  • Assures compliance with all pertinent laws and regulations related to senior housing.
  • Serves on Campus-wide committees as requested
  • Interacts daily with staff, residents and family members utilizing good communication and teamwork with other departments
  • Assists with new resident orientation
  • Assists with scheduling and event planning
  • Communicates resident needs to head of department
  • Assists with maintenance of resident files and records
  • Addresses or redirects incoming calls and voicemails, as needed
  • Liaison to Wellness Center Providers and ensures licensing and insurance compliance.
  • Delivers correspondence and publications
  • Assists with maintenance of Laundry Room schedules and acts as resident liaison
  • Assists with maintenance of birthday lists
  • Assists with production of fire alarm reports
  • Learns and applies new technology to help increase productivity and the engagement of our population
  • Formats content into pre-designed templates as determined by head of department
  • Submits proofs to managers/copy writers and completes edits as requested
  • Works directly with media teams on ongoing publications
  • Follows all procedures and policies in place to meet the needs of our current audience
  • Responsible for print quality and color control utilizing various techniques
  • Ensures all equipment is functioning satisfactorily
  • Prints requested projects based on needs from staff liaisons, utilizing online project management suite to ensure all projects are completed by assigned deadlines
  • Manages list of printed content for cost analysis
  • Coordinates with resident teams, volunteers and Residents Council for door-to-door delivery
  • Manages community bulletin board content
  • Creates Community Channel slides as requested
  • Periodically checks for editorial or quality issues and timing of scheduled slides
  • Works directly with management to ensure timely distribution of emergency response procedures
  • Assists with scheduling of BeInspired Channel 1-2 content and upload/download as needed
  • Schedules equipment usage based on needs of events and staff
  • Performs basic backup tasks as assigned
  • Performs other duties as assigned
  • May be asked to work weekends

Education and Experience:

  • High school diploma required; bachelor’s degree in applicable field (business, communications, human resources, healthcare, I.T.) preferred
  • Proficiency in Microsoft Office required
  • Knowledge of Adobe Creative Cloud, EFI Fiery Command Workstation, WordPress, MangoSigns, BrightSign, VEED.io is desired but not required
  • Must have strong written and verbal communication skills and be a team player
