This position is responsible for assisting the Director in creating and maintaining a community where a high quality of life for Independent Living residents is available.  The Assistant Director will advocate for residents through assuring quality services and support systems which enable residents to extend their abilities to live independently and offer such services when deemed necessary.  Reports to Director of Independent Living.  This is an exempt position.

Major Tasks, Duties, and Responsibilities:

  • Assures our Mission is implemented in relation to resident and family satisfaction, proper services are offered, rights to fair and equitable treatment are never infringed upon, and self-determination and privacy are a daily experience
  • Listens to and responds swiftly to resident requests and needs
  • Assures property integrity is intact and arranges for repairs or replacement in apartments and common areas when warranted
  • Assures compliance with all pertinent laws and regulations related to senior housing.
  • Serves on Campus-wide committees as requested
  • Interacts daily with staff, residents and family members utilizing good communication and teamwork with other departments
  • Assists with new resident orientation
  • Coordinates events, meetings and projects
  • Communicates resident needs to head of department
  • Assists in tracking resident attrition and suggests strategies to minimize turnover
  • Assists in suggesting available services and appropriate levels of care for residents to assure safety and wholeness for each resident
  • Responds to Lifeline Alerts after communicating with Security
  • Maintains resident files and records
  • Prepares and delivers reports to the Director and Sr. Vice President of Resident Services
  • Implements and assures compliance with Board approved service-related policies; review and update annually or as necessary
  • Addresses or redirects incoming calls and voicemails, as needed
  • Liaison to Wellness Center Providers and ensures licensing and insurance compliance
  • Delivers correspondence and publications
  • Maintains resident financial charts
  • Balances figures
  • Compiles Statistics
  • Past due account reconciliation with residents; develops, proposes, implements and follows up on payment plan agreements
  • Resident Handbook updates; communicates with all departments and reflects changes, additions and omissions to policies and procedures accordingly
  • Researches information
  • Composes letters, memos, articles and other notifications
  • Assist with policy and procedure development
  • Develop and teach classes and workshops on resident safety relevant topics
  • Maintains Logs
  • Develops office procedures
  • Document preparation
  • Creates and maintains brochures and informational packets as needed

  • Maintains Laundry Room schedules and acts as resident liaison
  • Maintains birthday lists
  • Produces fire alarm reports
  • Learns and applies new technology to help increase productivity and the engagement of our population
  • Submits proofs to managers/copy writers and completes edits as requested
  • Works directly with media teams on ongoing publications
  • Follows all procedures and policies in place to meet the needs of our current audience
  • Manages community bulletin board content
  • Creates Community Channel slides as requested
  • Periodically checks for editorial or quality issues and timing of scheduled slides
  • Assists in setting up systems to assure that residents’ rights to fair and equitable treatment, self-determination, individuality, privacy, property, and civil rights, including the right to file a complaint are visible
  • Works in concert with Director of Independent Living on significant resident issues including transfers, discharges and transitions when requested
  • Lend expertise on standing and ad hoc work teams/committees as required
  • Attends all mandatory in-services as directed
  • Ability to maintain complete confidentiality of all medical, financial, computer or other sensitive material which may jeopardize the privacy of others
  • Demonstrates orientation towards excellent customer service in all interactions by conducting oneself in a cooperative, courteous, positive and professional manner. Displays sensitivity and awareness of others.  Follows through with established expectations and keeps customers informed of progress
  • Assists with coordination and distribution of Resident Directory
  • Assists with delivery of Resident Bills
  • Collects money in designated boxes and distributes to appropriate departments
  • Supports, maintains and promotes “Beatitudes” Mission Statement
  • Performs other duties as assigned
